Odoo ERP for Automotive

Automotive businesses run on part numbers and repeat enquiries. The same customer asks for the same part six months later, and the price, the supplier and the last quotation are in somebody’s inbox.

Odoo puts enquiries, quotations, parts stock, purchasing and accounting in one place, so quoting the second time is faster than quoting the first.

Definition

What is Odoo ERP for automotive?

Odoo ERP for automotive connects customer enquiries, parts inventory, purchasing and service operations in one database. CRM captures the enquiry, Sales turns it into a quotation against live parts stock, Purchase replenishes what was committed, Inventory tracks parts by location and where needed by serial, and Accounting posts the margin. Fleet handles vehicles the business owns or services.

The decision that matters most in automotive is how the part master is structured. OEM number, aftermarket number, supersession and interchange are different things, and modelling them as one field is what makes a catalogue unsearchable two years later.

Part master
The product record. Needs the manufacturer part number as a distinct, searchable field.
Supersession
A part replaced by a newer number. Handled through product references or custom fields.
RFQ to quotation
An enquiry becoming a priced offer, with history so the next one is faster.
Fleet
Vehicles with odometer, service schedule, costs and documents against each one.

What we implemented

A customised Odoo ERP and CRM covering RFQ management, quotation tracking, sales forecasting, opportunity management and sales analytics across the parts business.

Why it mattered

High RFQ volume with repeat part numbers needs quotation history and forecasting in the same system as stock, or sales commits to quantities production and purchasing cannot meet.

How Odoo connects automotive operations

An enquiry becomes an opportunity, the opportunity becomes a quotation priced from the customer pricelist and checked against live stock, and the confirmed order drives both the delivery and the replenishment.

  • Quotation history searchable by part number, not by salesperson
  • Live parts availability checked before a delivery date is promised
  • Supplier pricing and lead times held against each part
  • Vehicle service schedules and costs tracked per vehicle

Expertise · how we work

What we settle in week one of an automotive implementation

These are the configuration decisions that are cheap to make now and structural to change later. We walk through each one before a single record is migrated.

  1. Part master structure

Manufacturer part number as its own searchable field, not buried in the description. This single decision determines whether your catalogue is usable in year three.

  2. Supersession and interchange

How a replaced part number points at its successor, and whether a search for the old number finds the new one. Usually product references plus a custom field.

  3. Costing method for parts

FIFO or average cost. With fluctuating landed cost on imported parts, standard cost without revaluation makes margin reports wrong.

  4. Serial tracking depth

Only where warranty or recall genuinely needs it. Serialising every fastener doubles counter time for no benefit.

  5. Counter sale versus job card

Whether a part leaving stock is a direct sale or a consumption on a service job. These post differently and need deciding before go-live.

  6. Quotation validity and approval

How long a quote holds its price, and who may discount beyond a threshold. In a volatile parts market this protects real margin.

  7. Reordering rules per branch

Minimum and maximum per part per location, so a slow-moving part at one branch is not reordered because another branch sells it.

Business models

Odoo for different automotive business models

The right configuration depends on how your business actually operates, not on your sector label.

Parts trading and distribution

Wide catalogue, repeat enquiries, and margin decided by purchase price and quotation speed.

Workshops and service centres

Job cards consuming parts and labour, with the same stock as counter sales.

Dealerships

Vehicle sales alongside parts and service, each with different margins and approval rules.

Fleet operators

Vehicles as assets with service schedules, running cost per vehicle and document expiry.

Component manufacturers

Production against OEM schedules, where BOMs and traceability matter more than counter stock.

Multi-branch operations

Several outlets sharing suppliers and a catalogue, with inter-branch transfers.

Trust · honest advice

Where Odoo needs work for automotive businesses

We would rather say this before you buy licences than after. These are the areas where we scope real development, recommend a bolt-on, or tell you Odoo is the wrong tool.

VIN-based catalogue lookup

Looking up fitment by vehicle identification number against a licensed catalogue is not native. It needs an integration with a catalogue provider.

Supersession chains

Multi-step supersession histories need custom modelling. Odoo handles a replacement reference, not a chain with dates and regions.

Warranty claim processing

OEM warranty claim submission and reimbursement tracking usually need development or a separate system.

Workshop bay scheduling

Odoo Planning schedules people; dedicated workshop bay and lift scheduling with technician skills is a specialist need.

Dealer management compliance

OEM-mandated DMS reporting formats are fixed by the manufacturer and usually require an integration you cannot negotiate.

Very large parts catalogues

Catalogues in the hundreds of thousands of SKUs need infrastructure planning, not a default hosting plan.

Our services

Odoo automotive ERP implementation services

Implementing Odoo for automotive needs more than installing the applications. Your ERP should reflect how your operations actually run.

  1. Requirement analysis

Understand your part numbering, catalogue size, supplier terms, how enquiries arrive, and whether service jobs consume the same stock as counter sales.

  2. Workflow design

Map enquiry-to-quotation-to-order and purchase-to-stock onto Odoo, and settle the part master structure before any catalogue is loaded.

  3. Odoo configuration

Configure the applications above around your requirements rather than installing them at their defaults.

  4. Data migration

Prepare and migrate masters, open items and opening balances. Data cleaning is scoped explicitly, because it is usually the largest single task. See Odoo migration.

  5. Integration & customisation

Connect the systems you are keeping and build only what configuration genuinely cannot reach. See integration and customization.

  6. Testing & user training

Your own team runs real transactions in a test database before go-live. Role-based training for the people who key them daily. See Odoo training.

  7. Go-live & support

Cutover planning, opening balance freeze, hypercare in the first weeks, then ongoing support and AMC.

Trust · what it costs

What an Odoo implementation costs for automotive businesses

We do not publish one implementation price, because the same application list costs very differently depending on the factors below. We do publish what moves the number, and the price is fixed in writing before work starts.

  • Catalogue size and qualityDeduplicating part numbers is usually the largest single task in an automotive implementation.
  • Service alongside tradingJob cards consuming the same stock as counter sales adds configuration and training.
  • Number of branchesEach location adds reordering rules, transfer routes and training.
  • Catalogue integrationsVIN lookup or OEM catalogue feeds are separately scoped integrations.
  • Serial and warranty trackingThe depth of traceability you genuinely need, not the maximum available.
  • Fleet scopeTracking vehicles you own is standard; tracking customer vehicles through service history is more.
Why us

Why choose OdooBots for Automotive ERP implementation

Automotive implementations are decided by the part master. We have built RFQ management, quotation tracking and sales forecasting on Odoo for Sanjeev Autoparts, and we scope catalogue cleaning explicitly rather than discovering it in month three.

FAQ

Odoo ERP for automotive: frequently asked questions

What is Odoo ERP for automotive businesses?
Odoo ERP for automotive connects customer enquiries, quotations, parts inventory, purchasing, service operations and accounting in one database, so quoted price, available stock and real margin all come from the same records.
Can Odoo manage automotive sales?
Yes. CRM captures enquiries and assigns them by rule; Sales produces quotations from customer pricelists with quantity breaks and discount approval; delivery dates are checked against live stock before they are promised.
Can Odoo manage automotive inventory and parts?
Yes. Parts are tracked by warehouse, location and bin, with reordering rules per part per branch and lot or serial tracking where warranty or recall requires it. The important work is structuring the part master so manufacturer part numbers stay searchable.
Can Odoo manage automotive purchasing?
Yes. RFQs to multiple suppliers, vendor pricelists with lead times, purchase agreements and approval limits by value, with replenishment driven by reordering rules rather than memory.
Can Odoo manage vehicle fleet operations?
Yes. Odoo Fleet holds vehicles with odometer readings, service schedules, running costs, insurance and document expiry. Tracking your own fleet is standard; tracking customer vehicles through a full service history is a larger scope.
Can Odoo look up parts by VIN?
Not natively. Fitment lookup by vehicle identification number depends on a licensed catalogue, so it requires an integration with a catalogue provider. We will tell you what that costs rather than implying it is included.
How does Odoo handle superseded part numbers?
Odoo supports product references and alternative products, which covers a direct replacement. Multi-step supersession chains with dates and regional variations need custom modelling, and we scope that separately.
Can OdooBots implement Odoo ERP for automotive businesses?
Yes. Our automotive work includes Sanjeev Autoparts, where we implemented a customised Odoo ERP and CRM covering RFQ management, quotation tracking, sales forecasting and opportunity management.
