Sales and pipeline
Orders, invoices, opportunities and margin by customer, product, salesperson and period, modelled once so every report agrees.
Power BI connects to Odoo more easily than it should, which is the problem. Odoo stores its data in PostgreSQL, so anyone with credentials can point Power BI at the production database and build a report that works beautifully until month end, when it slows the system for everyone.
The right version of this integration is about where the data is read from, how often, and who is allowed to see which rows.
Businesses running Odoo with OdooBots
Odoo Power BI integration reads from a replica or a defined dataset on a schedule, never from the live production database during business hours. A read replica or scheduled extract feeds Power BI with the models you actually report on, the relationships and measures are modelled once rather than rebuilt per report, and row-level security is implemented in Power BI because Odoo’s own access rules do not travel with the data.
Odoo record rules do not come with the data. A user who can only see their own region in Odoo will see everything in Power BI unless row-level security is rebuilt there, and that is a data-protection issue rather than a reporting one.
Six things make up a working Power BI setup over Odoo, and the first one is where most of the risk lives.
Orders, invoices, opportunities and margin by customer, product, salesperson and period, modelled once so every report agrees.
Stock levels, valuation, ageing and movement history, which is where Power BI genuinely outperforms a pivot view.
Ledger, receivables ageing and analytic accounts for department, project or cost centre reporting across periods.
Production output, consumption, work centre time and project profitability, joined to the cost data behind them.
Odoo joined to data it does not hold — marketing spend, web analytics, a legacy system — which is the strongest reason to use Power BI at all.
Row-level security rebuilt for your roles, and a refresh schedule set against how fast decisions are actually made.
A read replica or scheduled extract holds a copy of the models you report on. Power BI refreshes from it overnight, or more often if a decision genuinely depends on it. The semantic model defines relationships and measures once, so revenue means the same thing in every report. Row-level security is implemented for your roles, because Odoo’s record rules do not travel with exported data.
Done this way, Power BI never competes with your users for database resources, and nobody sees a figure they should not.
These are the decisions that are cheap to make now and painful to reverse once two systems have been exchanging records for a month.
Odoo pivot views and dashboards cover a great deal. The honest case for Power BI is blending Odoo with data it does not hold.
A read replica, a scheduled extract or the API. Not the live production database during working hours.
The handful of tables your reports really need, rather than a copy of everything, which is both slower and harder to secure.
Which roles may see which rows, rebuilt in Power BI. This is a data-protection decision, not a reporting preference.
How fresh the data genuinely needs to be. Overnight suits most businesses; hourly costs more and changes few decisions.
One person responsible for what each measure means, so two dashboards do not report different revenue.
Odoo schema changes between versions, so reports built on raw tables need checking at each upgrade.
We would rather say this before you buy licences than after. These are the areas where we scope real development, recommend a different tool, or tell you the connector will not reach.
Reporting against the live database slows the system for everyone, usually at month end. We will not set it up that way.
Record rules stay in Odoo. Every access restriction has to be rebuilt in Power BI or your data is effectively open.
Scheduled refresh is how this works. A genuinely live dashboard needs a different architecture and rarely changes a decision.
Reports built on raw tables can break when Odoo versions change, which makes them part of your upgrade scope.
Power BI reads. Anything that changes an Odoo record goes through the API as its own piece of work.
Power BI licensing per user adds up. For some businesses Odoo’s own reporting is the better value, and we will say so.
Connecting Power BI to Odoo is less about the connector than about agreeing what is true where, and what happens when a record will not go through.
Understand what you cannot answer in Odoo today, what other data you want joined to it, who should see what, and how fresh the numbers genuinely need to be.
Agree the read source, the models in scope, the row-level security design and the refresh schedule before any report is built.
Connect Power BI to Odoo using the standard connector where one fits, and build only what the connector genuinely cannot reach. See Odoo customization.
Your records, in a test database, including the awkward ones — the cancelled order, the partial refund, the product that exists on one side only.
A queue for failed records with a named owner and an alert, because an integration nobody watches diverges quietly and the divergence is found at audit.
Cutover with a reconciliation on both sides, then hypercare, then ongoing support and AMC.
We do not publish one integration price, because the same connector costs very differently depending on the factors below. We do publish what moves the number, and the price is fixed in writing before work starts.
We will ask whether Odoo’s own reporting already answers your question, because often it does and a Power BI project is an expensive way to rebuild it. When the answer is genuinely blending Odoo with outside data, we build it on a replica with row-level security rather than on a connection string to production.
Product capabilities stated on this page are documented by Odoo. The mapping advice, failure handling and limitations come from our own integrations.
Tell us what you cannot answer in Odoo today and what other data you want joined to it. Those two answers decide whether this is worth building, and the diagnosis call is free.
