Odoo AI integration

Most AI requests we receive are for things AI is not good at, and most of the value sits in two unglamorous places: reading documents nobody wants to type, and drafting text somebody will check.

This page is about what works in an ERP today, what it costs to run, and where your data goes — because in an accounting system the last question matters as much as the first.

What is Odoo AI integration?

Odoo AI integration adds document reading, scoring and drafting where a person still approves the result. Vendor bills and expense receipts are read by OCR into draft bills for review, leads are scored from your own won and lost history, support tickets are classified and routed, and longer records are summarised or drafted for someone to edit. External language models can be called from automated actions where a task genuinely needs one.

Nothing here should post to your ledger without a human approving it. AI that reads a bill saves typing; AI that books an entry unseen creates an audit problem nobody notices for months.

OCR / digitisation
Reading a PDF or photo of a bill into a draft record. The highest-value AI in an ERP.
Predictive scoring
A probability learned from your own closed deals. Statistics, not a language model.
Hallucination
A confident wrong answer. The reason financial outputs need review, not the reason to avoid AI.
Data residency
Where your records go when an external model is called. A decision, not a detail.
What syncs

What moves between AI and Odoo

Six kinds of AI are worth having in an ERP, and all six end with a person rather than a posting.

Vendor bill OCR

PDFs and photographs of supplier bills read into draft vendor bills with supplier, date, amounts and tax, for a person to check and confirm.

BillsDraftReview

Expense receipts

Receipts photographed by staff read into expense claims, which removes most of the typing from the part of the month everyone dislikes.

ReceiptsClaimsMobile

Predictive lead scoring

A probability on each opportunity learned from your own historic won and lost deals, so the pipeline sorts by likelihood rather than by gut feel.

ProbabilityOwn dataPipeline

Ticket classification

Support tickets categorised and routed to the right team from their text, with the obvious duplicates flagged before anyone opens them.

RoutingCategoriesDuplicates

Drafting and summarising

A first draft of a reply, a product description or a summary of a long thread, produced in the record and edited by the person sending it.

DraftsSummariesEdited

Custom model calls

An external language model called from an automated action for a specific task, with the prompt, the fields sent and the review step all defined.

How it works

How a record travels between AI and Odoo

A supplier emails a bill. OCR reads it into a draft vendor bill with the supplier, date, line amounts and tax filled in. The accounts assistant checks it against the purchase order, corrects what is wrong, and confirms. The typing is gone; the control is not. The same pattern applies to a drafted reply, a scored lead or a routed ticket — the machine proposes and a person decides.

Where an external model is involved, which fields leave your system is decided and written down before anything is switched on.

  • Documents read into drafts, confirmed by a person before posting
  • Scoring learned from your own history rather than a generic model
  • Classification and routing that a human can override and correct
  • Drafts produced in the record, edited before they are sent
  • Fields sent to any external model agreed and documented first

Expertise · how we work

What we settle in week one of an Odoo AI integration

These are the decisions that are cheap to make now and painful to reverse once two systems have been exchanging records for a month.

  1. Which tasks are worth it

Volume times time saved, honestly estimated. Reading two bills a week is not worth a project; reading two hundred is.

  2. Where the review step sits

Who checks the output before it has an effect. In an accounting system this is a control, not a preference.

  3. What leaves your system

Which fields are sent to an external model, to whose service, and under what terms. Written down before anything is enabled.

  4. Which edition you are on

Several AI features, OCR among them, are Odoo Enterprise rather than Community. Worth establishing before planning around them.

  5. What the running cost is

OCR credits and model calls are consumption charges, not a one-off. They belong in the business case.

  6. How accuracy is measured

A sample checked against reality after a month, so you know the real rate rather than the demo rate.

  7. What happens when it is wrong

The correction path, and whether corrections feed back into scoring. Decided up front rather than improvised.

Trust · honest advice

Where an Odoo AI integration needs work

We would rather say this before you buy licences than after. These are the areas where we scope real development, recommend a different tool, or tell you the connector will not reach.

Nothing posts unreviewed

We will not configure AI output to post directly to your ledger. Confident wrong answers are the whole risk, and review is how it is contained.

Handwriting and poor scans

OCR accuracy falls sharply on handwriting, faded thermal receipts and skewed photographs. Expect corrections on those.

Scoring needs history

Predictive scoring learns from your own closed deals. With a few dozen records it will tell you very little.

Not a forecasting engine

Demand forecasting from thin or irregular history produces confident numbers with no basis. We would rather say so.

Data residency

Calling an external model sends data outside your system. For some businesses that rules it out, and that is a legitimate answer.

Per-use cost

Credits and API calls are ongoing costs. A workflow that calls a model on every record change can become expensive quietly.

Our services

Our Odoo AI integration process

Connecting AI to Odoo is less about the connector than about agreeing what is true where, and what happens when a record will not go through.

  1. What you are connecting

Understand which repetitive tasks have real volume, which Odoo edition you run, what your policy is on data leaving the system, and who would review the output.

  2. Field and direction mapping

Agree the review step, the fields that may be sent externally, the running cost and how accuracy will be measured, before anything is enabled.

  3. Build and configure

Connect AI to Odoo using the standard connector where one fits, and build only what the connector genuinely cannot reach. See Odoo customization.

  4. Test with your own data

Your records, in a test database, including the awkward ones — the cancelled order, the partial refund, the product that exists on one side only.

  5. Error handling and alerts

A queue for failed records with a named owner and an alert, because an integration nobody watches diverges quietly and the divergence is found at audit.

  6. Go-live and monitoring

Cutover with a reconciliation on both sides, then hypercare, then ongoing support and AMC.

Trust · what it costs

What an Odoo AI integration costs

We do not publish one integration price, because the same connector costs very differently depending on the factors below. We do publish what moves the number, and the price is fixed in writing before work starts.

  • Which featuresStandard OCR and scoring are configuration; custom model calls are development.
  • Odoo editionSome AI features require Enterprise rather than Community.
  • Document volumeOCR credits and model calls are consumption costs that scale with use.
  • History availableScoring needs enough closed deals to learn anything useful.
  • Data policyKeeping everything in-house narrows the options and changes the design.
  • Review workflowBuilding the approval path properly is most of the configuration.
Why us

Why choose OdooBots for your Odoo AI integration

We quote AI on volume rather than on enthusiasm, and we refuse to let it post to your ledger unreviewed. The useful version of this is boring: fewer bills typed, better-sorted pipeline, tickets that reach the right team.

FAQ

Odoo AI integration: frequently asked questions

What can AI actually do in Odoo today?
Read vendor bills and expense receipts into draft records, score leads from your own won and lost history, classify and route support tickets, and draft replies or summaries for a person to edit. Each of those ends with a human approving the result rather than a posting made unseen.
Can AI read supplier invoices into Odoo?
Yes. Invoice digitisation reads PDFs and photographs into draft vendor bills with supplier, date, amounts and tax, which a person then checks against the purchase order and confirms. Accuracy drops on handwriting and faded thermal receipts, so corrections should be expected on those.
Should AI post entries automatically?
No, and we will not configure it that way. The risk with these systems is a confident wrong answer, and in an accounting system that becomes an audit problem discovered months later. AI removes the typing; the approval control stays.
How does predictive lead scoring work?
It learns a probability from your own historic won and lost opportunities rather than from a generic model, so the pipeline can be sorted by likelihood. It needs a reasonable volume of closed deals to say anything useful — a few dozen records will not.
Does our data leave Odoo when AI is used?
It depends on the feature. Some processing happens as a service and some requires calling an external model, so which fields are sent and to whose service is decided and documented before anything is enabled. For some businesses that rules out external models entirely, which is a legitimate answer.
Do AI features need Odoo Enterprise?
Several do, including invoice digitisation. Which edition you run is worth establishing before planning around a feature, because the alternative on Community is usually a custom integration with its own cost.
What does AI cost to run in Odoo?
OCR credits and model calls are consumption charges rather than a one-off project cost, so they belong in the business case from the start. A workflow that calls a model on every record change can become expensive without anyone noticing.
Can you build a custom AI workflow for our process?
Yes, through automated actions calling a model with a defined prompt, a defined field list and a defined review step. We scope it on the volume of work it removes rather than on how impressive the demonstration is. See Odoo customization.
