Odoo Lead Assignment & Duplicate Lead Problems
Duplicates and unassigned leads share one root: multiple intake channels with no rules. Website form, email alias, imports and manual entry each create their own record, nobody owns any of them. Fix = one dedup key (email/phone), automatic team assignment, and a merge routine.
First, confirm the symptom
- Leads sit days without an owner or a next activity
- Same company exists 3–5 times with different spellings
- Two salespeople quote the same customer different prices
- Pipeline numbers are inflated by ghosts
1. No assignment rules — leads land ownerless
A lead without a salesperson has no activity, no follow-up, no accountability. "Whoever sees it first" is not a process.
- Set default teams on every intake (form, alias, import template) and members on each team.
- Enable round-robin/rule-based assignment; add an automatic first activity ("Call within 4 hours") on creation.
2. Parallel channels creating parallels
The customer fills your form, then emails sales@, then calls — three records, three owners, three versions of the truth.
- Map every intake channel (see website form guide) into CRM — nothing lives in inboxes.
- Turn on duplicate detection so same-email/phone enquiries attach to the existing lead instead of spawning new ones.
3. No dedup key discipline
Deduplication works on email and phone — if those fields are empty or formatted five ways (+91, 0-prefix, spaces), Odoo cannot see the sameness.
- Make email or phone mandatory at intake; normalise phone format (country-code discipline).
- Run the duplicate finder on existing data (by email, then phone, then fuzzy name) and merge — we script bulk passes for large databases.
4. Zombie leads inflating the pipeline
Leads that died months ago but were never marked lost make expected revenue fiction and searches noisy — and every duplicate check hits them.
- Configure honest Lost Reasons and make marking lost culturally safe — a lost lead is data, not failure.
- Quarterly hygiene: anything without activity in 90 days gets a decision — revive or lose.
5. Merging done wrong (or never)
Deleting duplicates loses history; ignoring them splits it. Merge is the correct verb — it consolidates messages, activities and documents into one survivor.
- Select duplicates → Merge; keep the record with the richest history as master.
- Do the same for duplicate contacts/companies in the address book — leads inherit cleanliness from partners.
We dedupe your CRM (leads + contacts), wire assignment with SLAs on first response, and set the hygiene routine. Sanjeev Autoparts' RFQ intake runs on exactly this discipline.
Frequently asked questions
Does merging leads lose emails or quotations?
No — merge consolidates chatter, activities and linked documents onto the surviving record. That is why merge beats delete, always.
Can assignment respect territories or product lines?
Yes — team structure plus assignment rules can route by region, source or product interest. We model it on how your sales team actually divides work.
